Avoiding Rejection: A Guide to the Virginia Birth Certificate Apostille Process

Vital records: Must be an original certified copy issued by the Virginia Department of Health's Vital Records or the appropriate Circuit Court within the past 12 months.

  • No Notarization Required (Do Not Do It)

    You should NOT have your certified Virginia birth certificate notarized. The apostille is placed directly on the certified vital record itself, authenticating the signature of the State Registrar. Notarizing it will cause rejection.

  • Ensure the Document is Original and Unaltered

    The certified copy must be in its original condition. Do not staple, tape, or hole-punch the document. The raised seal and signature must be completely visible and intact.

  • Complete the Request Form

    You must include a completed "Authentication/Apostille Request Form" with your submission. This form provides your contact information and details for the apostille.

  • Include Payment and Return Envelope

    Submit the correct fee (check or money order payable to "Secretary of the Commonwealth") and a self-addressed, stamped envelope for the return of your document.
